THE PROBLEM

Most businesses don’t have a system for getting paid. And their cash flow suffers.

Most UK SMEs don’t have a formal invoice chasing system. Just someone remembering — or not — to send a reminder or monitor payment commitments. Often, the people chasing the invoices are the same people managing client relationships, and when that’s the case, the chasing gets softer, the invoices get older, and their cash flow pays the price.

The people managing your client relationships shouldn’t be
the ones chasing payment. The moment they do, they’re choosing between protecting the relationship and protecting your cash flow. That’s not a choice they should be making.

Reminders go out when someone remembers. Escalations depend on whoever has time that week. Every debtor gets a different experience – and the ones who get chased the least consistently are the ones who pay the latest.

UK SMEs are owed an average of £66,770 in unpaid invoices – a 10% increase year-on-year. Every day an invoice sits unpaid is working capital your business isn’t using.
https://www.smallbusinesscommissioner.gov.uk/late-payments-research-2/

UK businesses spend an average of 86 hours a year chasing late payments. That’s time that fee earners, account managers, and project managers aren’t spending on billable work or winning new business.

Day 1: Invoice overdue, no reminder sent

No system, no schedule. The reminder only goes out if someone remembers to send it.

Day 14: Follow-up email delayed

No escalation rules. No triggers. The follow-up went out three days late — if it went out at all.

Day 28: Incorrect balance sent to debtor

Spreadsheet hadn’t been updated after a partial payment. Debtor disputed the figure.

Day 42: Payment promised

Debtor replied three days ago. No one saw it. Chasing continued by mistake.

Day 45: Payment not received

The deadline passed. No alert, no escalation, no next step. The matter just sits there.

HOW IT WORKS

Automated invoice chasing —
with you in control

Connect to Xero, set your rules for how and when your debtors are
chased, and Nudging corresponds with them automatically — flagging anything that requires your input.

  • Connect Xero

Link your Xero account and Nudging imports your outstanding invoices automatically — syncing your balances, payment history, and debtor contact
    details.

  • Configure Rules

Define when reminders go out, when to escalate, and what payment terms you’ll accept to settle an invoice in full. Set them once and Nudging applies them consistently from that point on.

  • Nudging runs the process

Reminders go out on time, escalations trigger, debtor responses are classified and acted on, and payment commitments are monitored. You’re only notified when something needs your attention.

PLATFORM FEATURES

Built for invoice chasing.
Built for SMEs

Built for finance teams at UK SMEs who need a consistent, professional invoice chasing system that reduces DSO, preserves client relationships, and runs automatically – without the enterprise price tag or implementation headache.

  • Staged Escalation

Four configurable, dynamic escalation stages with defined intervals and tone progression. Each stage triggers automatically based on debtor behaviour.

  • Email Classification

Every debtor reply is classified and routed automatically from a dedicated collections mailbox. Replies needing human judgment are flagged for your review.

  • Payment Plan Engine

Configurable payment plan rules define what Nudging can propose and auto —accept. Plans are monitored automatically — if instalments are missed, chasing resumes.

  • Matter Dashboard

A live overview of every active matter —outstanding balances, escalation stages, matter statuses, and flagged matters requiring your attention.

  • Matter-Level Management

All invoices for the same debtor are grouped into a single matter — or split into separate matters where work has been instructed by different client contacts or departments.

  • Unassigned Emails

Replies received outside a Nudging —generated email thread are matched to the correct matter automatically where possible. Where automatic matching isn’t possible, they’re held in a dedicated queue for manual review and
    assignment.

AUTOMATED WORKFLOWS

Invoice chasing that adapts to how your debtors interact

Nudging implements a dynamic invoice chasing system into your business. Every communication adapts to what your debtors do — chasing invoices, handling replies, and monitoring payment commitments automatically, from a dedicated mailbox on your email domain. Configure your escalation and payment rules once and Nudging handles the rest.

Promised payment date checked against your payment timing rules.

Debtor request handled within your payment plan rules.

Auto-responds with invoice details.

Nudging chases outstanding invoices through four
dynamic stages, triggered by debtor behaviour – not a fixed schedule. Each stage activates once your configurable minimum waiting period has elapsed, provided the debtor is not proactively engaging.

Where a debtor requests a payment plan, Nudging suggests or evaluates proposed terms against your tiered payment plan rules, monitors every instalment, and resumes chasing if payments are missed

Standard requests – invoices and credit note copies – are fulfilled automatically via the Xero API. Requests Nudging can’t fulfil, such as a debtor requesting a copy of a contract, are flagged to you for action.

When a debtor commits to paying by a specific date, Nudging records the commitment and monitors Xero for payment. If payment doesn’t arrive, chasing resumes automatically. Where the proposed payment date falls outside of your payment settings, Nudging can convert the commitment into a payment plan if the debtor agrees.

If a debtor disputes the balance, chasing pauses immediately, and the matter is flagged to you. You decide whether to accept or reject the dispute.

Replies that don’t fit any other category, or that Nudging can’t action automatically, are flagged to you. You can respond directly through Nudging or your dedicated collections mailbox.

Built For Control

You set the chasing rules.
Nudging follows them

Nudging never acts beyond the rules you set. Every decision that affects a client relationship, such as a dispute or a legal escalation, stays with you. Nudging handles the routine. You handle the consequential.

  • One source of truth. Xero

Every balance, payment, and debtor contact is sourced directly from Xero — Nudging never edits your accounting system.

  • The Right Side of the Line

Every communication generated by Nudging is firm where it needs to be —factual, professional, and never threatening.

  • You Handle the Consequential

Disputes and matters reaching the end of escalation are flagged to you. Legal action and write-offs remain your choice.

  • Your Domain. Your Identity

Every communication is sent from your own verified business email, not a generic Nudging address.

INTEGRATIONS

Your accounting system.
Our chasing engine

Nudging connects to the tools your business already uses — pulling financial data from Xero and working with your Microsoft 365 environment to keep all debtor emails in one place. Email delivery is handled by SendGrid in the background — no setup required.

  • Nudging syncs directly with Xero and works with your data, importing invoices, payments, credits, balances, and debtor contact details automatically, without ever changing it.

  • Nudging works with your Microsoft 365 environment via a server— side transport rule — no mailbox OAuth or direct inbox access required. Your dedicated collections mailbox sits within Outlook, keeping all debtor correspondence in one place
